Black Stag Digital is in search of a highly skilled and versatile Marketing Assistant to support marketing execution, digital operations, client-facing communication, automation, and eCommerce systems. This is a multifaceted, technical, and creative position—you’ll oversee cross-functional workflows and get hands-on with campaign execution, reporting, customer service oversight, design tools, and web platforms.

You’ll act as a key operations and delivery partner inside the agency, ensuring marketing content is launched correctly, customer issues are addressed, creative is on-brand, and backend systems run smoothly.

Core Responsibilities:

1. Marketing Team Coordination

  • Oversee the daily execution of email, ads, SEO, and social media deliverables.
  • Manage and maintain promotional and content calendars, ensuring campaign deadlines and approvals are on track.
  • Review and approve all creative assets (graphics, emails, posts, copy) before publishing to ensure brand accuracy and quality.
  • Build and maintain email templates in Klaviyo, Mailchimp, Active Send, and other platforms.
  • Jump in to assist with content creation as needed—building assets or adjusting creative for timely deployment.
  • Utilize Apollo or other lead mining tools to access lead information and create effective cold email and sms campaigns to generate new leads.

2. Customer Support Oversight

  • Act as a liaison between the client and the customer support team.
  • Review escalated tickets from Gorgias via Slack, provide direction, or escalate to the client when necessary.
  • Maintain and update SOPs for customer service handling and client-specific policies.
  • Ensure support communications are accurate, efficient, and on-brand across all platforms.

3. Website & eCommerce Platform Management

  • Manage client sites built on Shopify, WooCommerce, WordPress, Webflow, and other platforms.
  • Oversee product listings, SKUs, pricing tiers, images, and copy for accuracy and consistency.
  • Administer apps and integrations such as:
    • Shopify - ecommerce content management system
    • GoAffPro – affiliate program structure, onboarding, and payouts
    • Wholesale All-in-One – tiered pricing and customer-level access
    • ShipStation and QuickBooks – fulfillment and billing sync for dropship sites

4. Dropship Operations

  • Build and maintain client dropshipping websites including product setup, quality control, and pricing alignment.
  • Audit client-submitted dropship sites for errors, discrepancies, and missing information.
  • Ensure backend fulfillment systems push correct order data to ShipStation, QuickBooks, and client invoicing systems.
  • Manage weekly invoice cycles for all dropship clients and validate pricing structures (including pick/pack fees).

5. CRM, Automation & Sales Support

  • Maintain and optimize CRM systems and sales pipelines, ensuring workflows are fully functional and streamlined.
  • Collaborate with client sales teams to provide clarity and technical solutions to operational roadblocks.
  • Build cross-platform automations using Zapier, Make, or similar tools to integrate CRMs, forms, calendars, and more.

6. Technical Operations & Integrations

  • Provide support for Office 365, SharePoint, OneDrive, Zoom, Calendly, and other IT tools.
  • Troubleshoot integration issues across platforms, ensuring business continuity for internal and client teams.
  • Ensure correct implementation and maintenance of Google Analytics, Search Console, Merchant Center, and Meta Business Suite for each client.
  • Assign roles and manage permissions for ad accounts, catalogs, and page access across client and agency-owned Meta accounts.

7. Creative Tool Management

  • Use Photoshop, Adobe Illustrator, Canva, and/or Figma to:
    • Edit and optimize marketing graphics
    • Design or adjust email layouts, landing pages, or website sections
    • Collaborate with designers or fill gaps when design resources are tight

8. Reporting & Documentation

  • Build detailed Excel reports using formulas like VLOOKUP, pivot tables, and data visualization charts.
  • Create and deliver client-facing reports and dashboards for campaign and operational insights.
  • Maintain a well-organized system of SOPs, internal documentation, and client workflows using Google Drive, SharePoint, and other tools.

9. Advanced Excel Usage & Data Management

Use Excel at an advanced level to manage and analyze data from eCommerce platforms, CRMs, order and warehouse systems, Google Search Console, Google Analytics, and ad platforms. Responsibilities include:

  • Bulk editing product, customer, and inventory data
  • Analyzing sales, lead generation, and pipeline performance
  • Reconciling inventory and tracking operational trends
  • Creating ad hoc reports and dashboards for clients and internal use
  • Building content plans from search and ad data exports
  • Must be highly proficient in VLOOKUP, pivot tables, filters, charts, and advanced formulas to support decision-making and ensure data accuracy across systems.

Required Qualifications:

  • 5+ years of experience in marketing coordination, digital operations, or eCommerce support
  • Proficient with Photoshop, Adobe Illustrator, Canva, and/or Figma
  • Strong proficiency with Excel (VLOOKUP, pivot tables, chart building)
  • Working knowledge of HTML/CSS and basic JavaScript
  • Experience with Zapier, Make, or similar automation platforms
  • Hands-on experience with Shopify, WooCommerce, WordPress, Webflow
  • Familiarity with CRMs, Gorgias, Klaviyo, Mailchimp, QuickBooks, and Meta platforms
  • Strong organizational, problem-solving, and communication skills

Preferred Experience:

  • Background working in a digital agency environment
  • Knowledge of fulfillment operations and accounting software integrations
  • Experience managing affiliate systems and wholesale eCommerce infrastructures
  • Strong documentation and SOP creation capabilities
